Privacy notice

The short version: this website still collects nothing about you. Online booking is a separate site, and that one does collect a few things, because a booking needs a name and a number to reach you on. Both are set out below in plain language.

Who is responsible

Neilson Cycles, Shop 2, 22 on Oxford, Oxford Street, Durbanville, Cape Town, 7550, is the responsible party. You can reach us on 078 311 8745 or at the address above. The website and the booking system are built and run by Trevern Technologies on our behalf.

Under the Protection of Personal Information Act that makes Trevern ouroperator. It handles your booking details only on our instruction, only to run the booking system, and it may not use them for anything of its own.

What this website collects

Nothing. There is no contact form here, no login and no newsletter. There is nowhere on this site to type anything, so there is nothing for us to store.

If you phone us, we have your number because you called, in the same way as any phone call. That is not something this website does.

What online booking collects

Booking lives on its own site, at book.neilsoncycles.co.za. If you send a booking there, we keep:

• your name
• your phone number
• your email address, only if you choose to give one. It is optional.
• what the bike is and what is wrong with it, plus the day you asked for and anything you typed in the notes

We use it for one thing: so Neil can phone you back, talk through the work and quote you. That is the whole purpose. A booking is a request for a day, not a confirmed job, and the phone call is how it becomes one.

We do not ask for an address, an identity number or card details. There is nothing to pay on the website.

How long we keep it

We keep your details for 3 years after your last booking. That span is deliberate rather than round: a service history is worth having when the same bike comes back.

After that we strip your name, your phone number, your email address and whatever you typed in the notes out of our records, and out of the workshop diary at the same time. What is left is the bike, the work and the day, so we can still see how busy the workshop was and what work came through the door. There is nothing in it that points to you.

If you would rather we did it sooner, ask us and we will.

Being contacted later

There is one tick box on the booking form asking whether we may contact you later about your bike. It is optional and it is off unless you switch it on. Your booking works exactly the same either way, and we will never make it a condition of getting a booking.

We record the date you agreed and the exact wording you agreed to, so there is no argument later about what was asked. Change your mind at any time: phone the workshop, or reply to the message, and we stop.

Cookies and tracking

This website sets no cookies. It uses no analytics, no advertising pixels, no social media trackers and no third-party scripts of any kind. Nothing is stored in your browser.

The booking site is the one place that differs. It loadsCloudflare Turnstile, which is the check that tells a person from a bot before a booking is sent. It is there so Neil does not spend his morning phoning back bookings that were never real. It shows no adverts and it does not follow you around other websites.

The map on the contact page is the other exception, and it only loads if you pressShow map. Until you press it, nothing at all is requested from Google. Once you do, the map comes from Google and Google may set its own cookies. That choice is yours, and pressing the button is the only way it happens.

Who else is involved

A booking passes through a few other companies on its way to Neil. Each one handles it on our instruction and none of them may use your details for anything of their own.

• Cloudflare hosts this website and the booking site, stores the bookings and provides Turnstile. Like any web host, its servers record technical details of requests, including your IP address, in order to serve pages and keep things online. We do not have access to those records as a list of visitors.
• Resend carries the email that tells the workshop a booking has come in. That email has your name and number in it, so Neil can phone you back from it.
• Google Calendar is the workshop diary. Once Neil has phoned you and booked the bike in, the day goes in the diary with your name, your number and your email address if you gave one, so he knows whose bike is on the bench and can reach you. Nothing is sent to your calendar and you get no invite, because there is no appointment time to send you.
• Google Maps, only if you press Show map, as described above.

Those companies run their servers outside South Africa, so your details are handled outside the country. That is the whole list. Your details are not sold to anyone and never will be.

Your rights

Under the Protection of Personal Information Act you can ask us what we hold about you, ask us to correct it, ask us to delete it, and object to being contacted. Phone the workshop on 078 311 8745 and we will sort it out.

If you ask us to delete your details, we do it the same way as above: your name, number, email address and notes go, and the booking record stays behind without them. If you have a bike with us or a booking still open, we finish that first, then remove them.

If you are not happy with how we have handled it, you can complain to the Information Regulator of South Africa.
